Creating Your Account

Visit app.cloudnurse.co and click 'Sign Up.' Enter your nursing home details including facility name, administrator name, address, phone number, and email. The system will send a verification link to your email. Once verified, you can access the platform immediately. Setting Up Your Facility

After creating your account, the next step is configuring your facility information. Go to 'Settings' and select 'Facility Information.' Enter your address, bed count, types of services offered (such as general care, dementia care, physical therapy), and operating hours. You can also upload photos of your facility and set up wards or zones. This information will appear on your facility profile on the CloudNurse website.

Go to the 'Staff' menu and click 'Add Staff.' Enter their name, role (nurse, nurse aide, caregiver), phone number, and email. The system will send an invitation link for staff to set their own password. You can assign access permissions, such as allowing general staff to see only residents in their ward while managers can view all data. Adding staff incurs no additional cost and there is no limit on the number of staff accounts.

Configuring Notifications

CloudNurse offers multi-channel notifications via LINE, email, and in-app alerts. Go to 'Settings' and select 'Notifications' to configure which events trigger alerts, such as incident reports, low supply warnings, or important care entries. For LINE notifications, connect your facility's LINE account by scanning the QR code shown in settings. Notifications will begin immediately after a successful connection.

The dashboard is the main screen showing all key information about your facility. The top section displays total resident count, on-duty staff, and pending alerts. The middle section shows daily care activity graphs. The bottom section lists residents with their latest status. You can filter by ward, date, or activity type. The dashboard updates in real-time, allowing administrators to monitor operations at any time.

Adding a New Resident

Go to the 'Residents' menu and click 'Add Resident.' Enter basic information including full name, date of birth, ID number, underlying conditions, and current medications. Select the assigned ward and bed. Then add family contact information (name, relationship, phone, LINE ID). The system will automatically create the resident profile and send a LINE connection link to family members for automatic reports. You can add photos, special notes, and individualized care plans.

Resident Profiles and Care Plans

Each resident profile contains personal information, medical history, medications, allergies, and individualized care plans. Care plans can define daily activities such as exercise, physical therapy, or specialized activities. Staff can view care plans on their phone before starting a shift and mark activities as completed. The system alerts if any planned activities are missed. Complete care history is stored and accessible at any time.

Family Contact Information

Each resident can have multiple family contacts. Go to the resident profile and select 'Family Contacts' to add information. You can designate who is the primary contact, who receives automatic reports, and who has medical decision-making authority. The system supports sending reports to multiple contacts simultaneously, such as son, daughter, and spouse. Each contact can choose to receive reports via LINE or email.

Discharge and Transfer

When a resident leaves the facility, go to their profile and click 'Discharge.' Specify the discharge date, reason (returning home, hospital transfer, transfer to another facility, or other), and notes. The system will generate a care summary for the entire stay, which can be printed or sent to the family and receiving facility. Discharged resident data is retained in the system for reference but will not appear in the current resident list.

Daily care charting (e-Charting) is the core of CloudNurse. Staff log in from their phone, select the resident, and record activities such as meals (how much eaten, any issues), hygiene (bathing, oral care, diaper changes), physical activities, vital signs, and other observations. Every entry includes a timestamp, the recording staff member's name, and can include photos. All data is compiled into automatic reports sent to families.

Medication Administration (eMAR)

CloudNurse's eMAR system ensures safe and accurate medication administration. Set up each resident's medication list in their profile, specifying drug name, dosage, frequency, and scheduled times. The system alerts staff when medications are due. Staff confirm after administering, recording actual time and their name. If a resident refuses or misses a dose, the system records the reason and alerts the shift supervisor. Complete medication history is available for review, helping doctors track compliance.

When an unexpected event occurs (fall, injury, behavioral change), staff can report through CloudNurse immediately. Select 'Report Incident' from the main menu. Enter details, time of occurrence, involved resident, severity level (low, medium, high, critical), and initial actions taken. The system immediately alerts managers and family (based on settings). Supervisors can add follow-up actions and close the case when resolved. All reports are retained for auditing and process improvement.

Dual-Source Inventory Tracking

CloudNurse is the only system that supports dual-source supply tracking, which is unique to Thai nursing homes. When families bring supplies (diapers, incontinence pads, wet wipes, medications, supplements), staff log the deposit in the system, specifying type, quantity, and depositor. As supplies are used daily, staff record consumption per resident. The system maintains separate accounts for family-deposited and facility-provided items. When supplies run low, the system automatically notifies families via LINE with a list of items to replenish. This eliminates surprise shortages and reduces disputes about supply usage.

Auto Family Reports (LINE)

The automatic LINE reporting feature lets families stay informed without needing to call. Configure reporting frequency (daily, weekly, or custom) and select which data to include: care activities, vital signs, medications, and remaining supply levels. Families connect via LINE by scanning a QR code, then receive automatic reports at scheduled times. Reports are formatted for easy reading, and families can reply or ask questions directly via LINE. This feature reduces family update call time by 80% or more.

The analytics dashboard displays key statistics and trends for your facility, including occupancy rates, staff workload, care activity summaries, incident frequency, and supply usage. Administrators can view daily, weekly, or monthly data and compare across time periods. The dashboard includes pre-built reports exportable as PDF, suitable for executive presentations or regulatory submissions. These insights help administrators make evidence-based decisions.
